Getting Started

What is RuleHero?

RuleHero is an analytics platform designed for accounting professionals who use QuickBooks Online. It analyzes your bank transaction rules across multiple companies, showing you which rules are working, how much time they're saving, and where you can improve your automation.

Who is RuleHero for?

RuleHero is built for accountants, bookkeepers, and accounting firms who manage QuickBooks Online for multiple clients. It's especially valuable if you're managing 3 or more companies and want to optimize your rule automation strategy.

How do I get started?

Sign up (no credit card required to start), connect your QuickBooks companies via secure OAuth, and start viewing analytics immediately. The entire setup takes less than 5 minutes.

Do I need to install anything?

No installation required! RuleHero is a cloud-based web application. Simply log in through your browser from any device.

QuickBooks Integration

Is my QuickBooks data safe?

Absolutely. We use OAuth 2.0 for authentication (we never see your QuickBooks password), all data is encrypted in transit and at rest, and we operate with read-only access—we cannot modify or delete any data in your QuickBooks account.

Will RuleHero change anything in my QuickBooks?

No. RuleHero has read-only access to your QuickBooks data. We analyze your rules and transactions but never create, modify, or delete anything in your QuickBooks account.

Which QuickBooks plans are supported?

RuleHero works with all QuickBooks Online plans (Simple Start, Essentials, Plus, and Advanced). QuickBooks Desktop is not currently supported.

How do I disconnect QuickBooks?

You can disconnect any QuickBooks company anytime from your RuleHero settings or directly through your QuickBooks account settings. Disconnecting immediately removes the company from your billing.

How often does data sync?

RuleHero syncs with QuickBooks in real-time when you view your dashboard. You can also manually refresh at any time to get the latest data.

Features & Functionality

What analytics does RuleHero provide?

RuleHero shows rule performance (match rates, time saved), identifies inactive rules, provides efficiency scoring, displays transaction categorization analysis, offers test rule capabilities, and gives insights across multiple companies.

What are test rules?

Test rules let you create and validate rules against historical transactions without affecting your QuickBooks data. You can see what would have matched in the past, helping you perfect rules before implementing them in QuickBooks.

How is time saved calculated?

We calculate time saved based on industry averages for manual transaction categorization (approximately 2 minutes per transaction). When a rule automatically matches a transaction, we count that as time saved.

Can I export my data?

Yes! You can export transaction data and analytics to Excel/CSV format for further analysis or reporting.

Can multiple people access the same account?

Currently, each subscription is for a single user. Team features are on our roadmap. Contact us if you need multi-user access for your firm.

Pricing & Billing

How much does RuleHero cost?

RuleHero costs $10 per QuickBooks company per month. If you manage 10 companies, that's $100/month. You only pay for the companies you have connected—add or remove companies anytime and your billing adjusts automatically.

What payment methods do you accept?

We accept all major credit cards (Visa, Mastercard, American Express, Discover) through our secure payment processor, Stripe.

Can I cancel anytime?

Yes, absolutely. There are no contracts or commitments. Cancel from your account settings anytime, and you won't be charged again. You'll retain access until the end of your current billing period.

Do you offer discounts for larger firms?

We're happy to discuss custom pricing for firms managing 100+ companies. Contact us at sales@rulehero.net to discuss volume pricing.

What happens when I add or remove companies?

Your billing adjusts automatically. If you add a company mid-month, you'll be charged a prorated amount. If you disconnect a company, it's immediately removed from your billing.

Technical Questions

What browsers are supported?

RuleHero works on all modern browsers including Chrome, Firefox, Safari, and Edge. We recommend using the latest version of your browser for the best experience.

Is there a mobile app?

Not yet, but RuleHero is fully responsive and works great on mobile browsers. A dedicated mobile app is on our roadmap.

Where is my data stored?

Your data is stored on secure cloud servers in the United States with bank-level encryption. We use industry-standard security practices and comply with SOC 2 requirements.

What happens to my data if I cancel?

When you cancel, we retain your data for 90 days in case you want to reactivate. After 90 days, all data is permanently deleted unless retention is required by law.

Do you offer phone support?

Email support is our primary channel, ensuring detailed responses and documentation. For complex issues, we can schedule a video call.
