GETTING STARTED

What is RuleHero?
A measurement instrument for QuickBooks bank-feed rules. RuleHero scores every rule across every QuickBooks Online company you manage, ranks them by efficiency, and tells you exactly which ones to fix first. It also lets you test a new rule against historical transactions before you deploy it.
QuickBooks already has rule management. Why do I need RuleHero?
QuickBooks rules are siloed to a single company file. RuleHero lets you manage rules across many client companies from one dashboard, compares effectiveness across companies, and lets you test a new rule against the past twelve months of historical transactions before deployment. The historical-test step is the one that prevents costly miscategorisations and the cleanup work that follows.
Who is RuleHero for?
Bookkeepers, firm partners, and practice managers who manage QuickBooks Online for several clients. It's most useful at three or more companies and unmistakably valuable at ten or more.
How do I get started?
Set up an account (no charge today), connect a QuickBooks company via OAuth, and view the first audit. End-to-end this takes about five minutes.
Do I need to install anything?
No. RuleHero is a web app. Sign in from any modern browser.

QUICKBOOKS INTEGRATION

Is my QuickBooks data safe?
Connection is read-only OAuth. We never see your QuickBooks password. The OAuth refresh token is KMS-encrypted in DynamoDB and only ever decrypted in-memory for the duration of a single API call. Transaction data is read on demand from QuickBooks; what we cache is only the metadata required for scoring.
Will RuleHero change anything in my QuickBooks?
No. Read-only access. RuleHero analyses your rules and transactions but never creates, modifies, or deletes anything in your QuickBooks.
Will this disrupt our current bookkeeping workflow?
No. Bookkeepers spend less time in the QuickBooks bank feed once rules are tested and standardised, not more. RuleHero shifts the work from manual cleanup to a small monthly review.
Which QuickBooks plans are supported?
All QuickBooks Online plans (Simple Start, Essentials, Plus, Advanced). QuickBooks Desktop is not currently supported.
How do I disconnect a company?
From your RuleHero settings, or directly through the QuickBooks app authorisations panel. Disconnecting a company stops billing for that company at the next cycle.
How often does data sync?
On demand. The dashboard refreshes against QuickBooks when you load it; you can also trigger a manual refresh at any point.

WHAT IT MEASURES

What does the efficiency score actually measure?
How often a rule fires, how often it fires correctly, and how much manual cleanup it has caused. A rule that fires once a year contributes nothing. A rule that fires often but miscategorises costs more than it saves. The score combines both into one number.
How do test rules work?
You write a new rule and RuleHero replays it against the past twelve months of bank-feed transactions across the connected companies. You see exactly what would have matched, what would have been miscategorised, and what would have been missed. You commit a rule change knowing what it will do.
How is time saved calculated?
Roughly two minutes per transaction that a rule auto-categorised. The calculation is approximate but conservative; it's there to make the time saved visible, not to be a billing record.
Can a firm partner monitor staff bookkeeper efficiency?
Yes. Partners and practice managers see the aggregate view across every connected company plus a breakdown by which staff member created which rules. It's a starting point for one-on-one conversations, not an automated performance review.
Can I export my data?
Yes. Every audit can be exported to Excel/CSV for sharing with a partner, a client, or your own staff.
Can my staff log into the same account?
Yes. RuleHero is per-organization, not per-seat. Invite as many staff members as you need from inside the app, no extra charge.

PRICING & BILLING

How much does RuleHero cost?
Your first five connected client companies are free per organization. Each additional company is $5 per month. No seats, no setup fee, no minimum, cancel any time. Annual billing is available on request and saves 25%.
When do you charge my card?
Not when you sign up. We capture a card on file so billing kicks in automatically the first time you connect a sixth company. Until then your card is on file and unused.
What payment methods do you accept?
All major credit cards (Visa, Mastercard, American Express, Discover) via Stripe.
Can I cancel any time?
Yes. No contract. Cancel from your settings; you'll retain access for the remainder of the current billing period.
What happens when I add or remove a company?
Connecting a sixth (or later) company starts billing for that company on a prorated basis from the day you connect it. Disconnecting a company stops billing for it at the next cycle.
Do you have volume pricing for very large firms?
Above 50 companies, yes. Email team@rulehero.net for a quote.

TECHNICAL

Which browsers are supported?
Latest two versions of Chrome, Firefox, Safari, and Edge.
Is there a mobile app?
Not yet. RuleHero is fully responsive on mobile browsers; a native app is on the roadmap.
Where is my data stored?
AWS, US region, encrypted at rest and in transit. SOC 2 alignment in progress.
What happens to my data if I cancel?
Retained for 90 days in case you reactivate. After 90 days it is permanently deleted unless retention is required by law.

How do I get support?
Email team@rulehero.net. Same-day response during business hours.
Is there phone support?
Email is the default channel; it produces better records for both sides. For complex issues we'll schedule a video call.
Is training available?
Documentation and short demo videos cover most cases. For firms onboarding several staff at once, we can run a personalised session.
Do you have a roadmap?
Yes. The next things on it are: deeper rule diff/preview, custom report templates, and a public read-only API. Email if you want a feature request prioritised; we read every message.
