Getting Started
What is RuleHero?
RuleHero is a platform that helps accounting firms master and optimize their QuickBooks Online bank transaction rules across all their clients. It allows you to test new rules against historical transactions before deploying them, track exactly how much time your rules save each month, and manage rule performance across all your client companies from one dashboard.
QuickBooks already has rule management. Why do I need RuleHero?
QuickBooks lacks multi-client centralized management and historical testing. QuickBooks rules are siloed to one file. RuleHero allows you to manage rules across 15+ clients from one dashboard, compare their effectiveness, and critically, test a new rule against historical transactions to verify 100% accuracy before deployment—a feature QuickBooks simply doesn't offer. This prevents costly miscategorizations and hours of cleanup work.
Who is RuleHero for?
RuleHero is built for accountants, bookkeepers, firm owners, and practice managers who manage QuickBooks Online for multiple clients. It's especially valuable if you're managing 3 or more companies and want to optimize your rule automation strategy, or if you're a firm owner who needs visibility into bookkeeper efficiency.
How do I get started?
Sign up (no credit card required to start), connect your QuickBooks companies via secure OAuth, and start viewing analytics immediately. The entire setup takes less than 5 minutes.
Do I need to install anything?
No installation required! RuleHero is a cloud-based web application. Simply log in through your browser from any device.
QuickBooks Integration
Is my QuickBooks data safe? I don't want more client data on another platform.
Absolutely. RuleHero uses OAuth (Open Authorization) to connect securely, which is the industry standard—the same process used for bank feeds. We explicitly never store your QuickBooks credentials. We use OAuth 2.0 for authentication (we never see your QuickBooks password), all data is encrypted in transit and at rest, and we operate with read-only access. The platform's sole purpose is to analyze rule metadata and transaction text to provide performance analytics, not to act as a data repository.
Will RuleHero change anything in my QuickBooks?
No. RuleHero has read-only access to your QuickBooks data. We analyze your rules and transactions but never create, modify, or delete anything in your QuickBooks account. We cannot modify or delete any data.
Will this disrupt our current bookkeeping workflow?
No—RuleHero actually streamlines your workflow by shifting the focus from manual correction to proactive optimization. Once rules are standardized and tested via RuleHero, bookkeepers spend less time in the QuickBooks bank feed every month, ultimately simplifying the process and reducing cognitive load on staff. You're not adding work; you're eliminating future manual work.
Which QuickBooks plans are supported?
RuleHero works with all QuickBooks Online plans (Simple Start, Essentials, Plus, and Advanced). QuickBooks Desktop is not currently supported.
How do I disconnect QuickBooks?
You can disconnect any QuickBooks company anytime from your RuleHero settings or directly through your QuickBooks account settings. Disconnecting immediately removes the company from your billing.
How often does data sync?
RuleHero syncs with QuickBooks in real-time when you view your dashboard. You can also manually refresh at any time to get the latest data.

What analytics does RuleHero provide?
RuleHero shows rule performance (match rates, time saved), identifies inactive rules, provides efficiency scoring, displays transaction categorization analysis, offers test rule capabilities, and gives insights across multiple companies.
What are test rules and why are they important?
Test rules are RuleHero's core differentiator. You can create and test rules against historical Bank Text (raw transaction data) from the past 12 months across all your clients simultaneously—before deploying them. This prevents the major risk of creating a rule that accidentally miscategorizes transactions upon immediate implementation. You get a Coverage Score showing what percentage of transactions would have matched, allowing you to refine rules until they achieve near-100% accuracy. This feature is simply not available in QuickBooks.
How is time saved calculated?
We calculate time saved based on industry averages for manual transaction categorization (approximately 2 minutes per transaction). When a rule automatically matches a transaction, we count that as time saved. This allows you to prove the ROI of your automation efforts to clients and partners.
How does RuleHero help firm owners monitor bookkeeper efficiency?
RuleHero provides visibility into how efficient your bookkeeping department is across all clients. You can see which bookkeepers are creating effective rules, track time savings by client or by staff member, and identify where training is needed. Check efficiency metrics daily, weekly, or monthly to identify inefficiencies before they become costly problems.
Can I export my data?
Yes! You can export transaction data and analytics to Excel/CSV format for further analysis or reporting.
Can multiple people access the same account?
Currently, each subscription is for a single user. Team features are on our roadmap. Contact us if you need multi-user access for your firm.
Pricing & Billing
How much does RuleHero cost?
RuleHero offers two plans: STANDARD at $10 per company per month, and PREMIUM at $20 per company per month. PREMIUM includes everything in STANDARD plus weekly email analysis and recommendations delivered to you for each company with insights on rules to save time, plus priority support. You select the plan for each company when you connect it. If you manage 10 companies on STANDARD, that's $100/month. You only pay for the companies you have connected—add or remove companies anytime and your billing adjusts automatically.
What payment methods do you accept?
We accept all major credit cards (Visa, Mastercard, American Express, Discover) through our secure payment processor, Stripe.
Can I cancel anytime?
Yes, absolutely. There are no contracts or commitments. Cancel from your account settings anytime, and you won't be charged again. You'll retain access until the end of your current billing period.
Do you offer discounts for larger firms?
We're happy to discuss custom pricing for firms managing 100+ companies. Contact us at team@rulehero.net to discuss volume pricing.
What happens when I add or remove companies?
Your billing adjusts automatically. If you add a company mid-month, you'll be charged a prorated amount. If you disconnect a company, it's immediately removed from your billing.
Technical Questions
What browsers are supported?
RuleHero works on all modern browsers including Chrome, Firefox, Safari, and Edge. We recommend using the latest version of your browser for the best experience.
Is there a mobile app?
Not yet, but RuleHero is fully responsive and works great on mobile browsers. A dedicated mobile app is on our roadmap.
Where is my data stored?
Your data is stored on secure cloud servers in the United States with bank-level encryption. We use industry-standard security practices and comply with SOC 2 requirements.
What happens to my data if I cancel?
When you cancel, we retain your data for 90 days in case you want to reactivate. After 90 days, all data is permanently deleted unless retention is required by law.
